Terms & Conditions

The following conditions will be incorporated into your contract and you should therefore read them carefully. If you have any query’s you should contact our customer care team. By booking with Sapadia Rohul Hotel & Cottages you confirm that you understand and agree to be bound by these Terms & Conditions.

  1. BOOKING PROCEDURE
    You must complete the on-line booking form and provide us with your credit card details which will act as a guarantee to secure the booking. You warrant that you are at least 18 years of age. All bookings are personal to you and may not be sold, assigned or otherwise transferred. The booking is confirmed when a facsimile or an on-screen confirmation and an email booking confirmation form have been sent to you by Sapadia Rohul Hotel & Cottages. Is it advisable to print out the on-screen confirmation at the time of booking and retain it for your information.
    Your credit card details are only held as guarantee. When making a reservation your card details are pre-authorized however not charged. This means that you must have sufficient funds on the card for one night’s stay. You can then pay when you arrive to the hotel with card or cash. For bookings over 7 days we may require a deposit via bank transfer however this is by manager’s discretion.
    If we do not confirm the booking it means that the contract has not been made. Please carefully check the details on your on-screen confirmation booking voucher/email and all other documentation on receipt and inform us immediately of any errors. We do not accept liability for any errors not notified to us within 72 hours of the date of booking and it may not be possible to make corrections at a later stage. Your contract with us and all matters arising out of it are governed by the laws of The Republic of Indonesia and are subject to the exclusive jurisdiction of the Indonesian Court.
  2. BOOKING CONFIRMATION
    The booking confirmation must be given to the hotel at check-in. Failure to produce the confirmation at check-in may result in the hotel not honoring your reservation. The confirmation clearly states what is covered in the rate quoted and additional charges incurred at the hotel will be at your expense. Cancellation of a booking will immediately invalidate the confirmation.
  3. PAYMENT
    Prices are per room per night and include buffet breakfast and all taxes.We accept American Express, Diners, MasterCard, Maestro, Visa & Visa Delta. It is important for you to know that whenever you provide us with personal details or credit card information, it is secure. Your credit card number, name, address, and telephone number are protected by powerful Secure Sockets Layer (SSL) encryption technology as it travels through the internet.
  4. WHAT HAPPENS IF YOU NEED TO AMEND OR CANCEL YOUR BOOKING?
    If you wish to change your booking after it has been confirmed e.g. guest names, date changes, etc, you must cancel your booking and re-book through the Sapadia Rohul Hotel & Cottages website. We will try to assist but cannot guarantee to meet such requests. Reimbursement for unused accommodation cannot be made unless you have cancelled online or in exceptional circumstances when hotel stay has been curtailed due to emergency. In these cases, we require receipt from the hotel confirming this and may require additional documentation (such as medical certificates) prior to considering individual cases. The cost of any exchange rate differences resulting from your booking changes, will be the responsibility of the booker. Any claim must be presented to Sapadia Rohul Hotel & Cottages in writing within 30 days of check-out.
    Guests must cancel or modify all reservations 5 working days before the date of arrival, and no charge will be taken. If the cancellation or modification is after this time, there will be a charge equivalent to the cost of 50% of the total reservation amount. For reservations with multiple rooms this applies to each room. Please also note all cancellations or modifications must be made in writing, either by fax or email. Cancellations over the phone will not be accepted. Details of how to cancel a booking are set out on the booking confirmation form. Any claim must be presented to Sapadia Rohul Hotel & Cottages in writing within 30 days of check-out. Please note that certain special hotel rates are non-changeable and non-refundable once the booking has been confirmed.

  5. CHANGES OR CANCELLATION BY SAPADIA ROHUL HOTEL & COTTAGES
    Very occasionally, we may have to cancel your booking. We will tell you as soon as possible, and offer you an alternative accommodation of the same standard, or higher, or offer a full refund. We regret we cannot pay compensation or any reimbursement of any expenses or costs you may incur as a result of any such cancellation or change. If we have to make a major change to your arrangements after booking we will offer you the option of accepting the change or cancelling the booking and receiving a full refund of any monies paid to us. We do not accept responsibility for any expenses or costs you may incur as a result of any change.
  6. FORCE MAJEURE
    Sapadia Rohul Hotel & Cottages cannot accept responsibility or pay any compensation where the performance or prompt performance of the contract is prevented or affected by reason of circumstances which amount to “force majeure”. Circumstances amounting to “force majeure” include any event which we could not, even with all due care, foresee or avoid. Such circumstances include the destruction or damage of your accommodation (which cannot reasonably be remedied to a satisfactory standard before the start of your holiday) through fire, flood, explosion, storm or other weather damage, break-in, criminal damage, riots or civil strife, industrial action, natural or nuclear disaster, fire, adverse weather conditions, war or threat of war, actual or threatened terrorist activity, epidemic and all similar situations beyond our control.
  7. ARRIVAL AT THE HOTEL
    Check in time is any time after 14:00 pm. If guests arrive before, we can offer to hold luggage at the hotel. Check out time on the date of departure is 11:00 am. If the room is not vacated by this time, the customer will be subject to another night. Equally we offer the service to guests where we can hold luggage after 11:00 am until the end of the day on the date of departure.
  8. NON-ARRIVAL AT THE HOTEL
    In case of late check-in at the hotel, your credit card details, given at time of booking, will guarantee your room in case of late arrival. However, if you are due to arrive after 6.00 pm, it is advisable to contact the hotel directly beforehand to advise of this. A contact number for the hotel will be on your booking confirmation. Should you fail to arrive at the hotel on the arrival date the entire booking will be cancelled. The room will not be available on any subsequent nights of the booking and you will be charged the cost of the whole booking. Reimbursement for unused accommodation cannot be made unless you have cancelled online in compliance with clause 6 above.
  9. MEDICAL PROBLEMS
    If you have any medical problems or disability which may affect your stay you must advise us before booking giving full details to our customer care service. Your booking may be declined or cancelled in your best interests if your hotelier or we feel unable to properly accommodate your particular needs.
  10. ROOM TYPES AND RATES
    We segregate our rooms into four categories − Standard, Superior, Business & Cottages. While Sapadia Rohul Hotel & Cottages takes care to ensure that the hotels are placed in a category that accurately reflects the property, it is the responsibility of the guest to ensure that the hotel they book represents a standard that matches their needs.
    All rates quoted are per room per night, include a complimentary daily breakfast buffet for 2 persons and Taxes & Services. Please pay special attention to the room description at the time of booking. We do not have any control over special requests to individual hotels, however, any special requests made at the time of booking will be passed to the hotel with your booking details.
  11. FEEDBACK AND COMPLAINTS

    In the unlikely event that you are disappointed with your hotel accommodation, you should contact the hotel who will try to solve the problem. The contractual obligation lies with the hotel in this instance. If after that you still feel that the problem has not been resolved to your reasonable satisfaction you should within 7 days of returning from the hotel put your comments in writing to our customer care team, and we will forward them to the hotelier.
  12. LAW
    Your booking is governed by Indonesian law and is subject to the exclusive jurisdiction of the Indonesian courts. The booking confirmation and these terms represent the entire agreement between the Sapadia Rohul Hotel & Cottages and you.
  13. COPYRIGHT
    All rights, including copyright and database right, in the website and its contents, are owned by or licensed to Sapadia Rohul Hotel & Cottages, or otherwise used by Urban Vibez web designers as permitted by applicable law or the copyright holder. You may not copy, reproduce, republish, download, post, broadcast or transmit any text, images, graphic, logo, button, icon, image and their selection and arrangement thereof, and any underlying source code and software, for any commercial or public purpose without prior written permission from Sapadia Rohul Hotel & Cottages or the copyright holder.
    You may not adapt, alter or create any of the material or information in this site or use it for any other purpose other than for your personal non-commercial use. You agree to use this site only for lawful purposes. Sapadia Rohul Hotel & Cottages reserves the right to use for its own purposes any material submitted to the site, including text and images, either on the site or in any other form, including for publicity purposes.
